How do you choose a custom software development company in the US?

Short answer

Pick a company with real projects similar to yours, that understands your operation before talking technology, and that puts scope, phases, timeline and investment in writing. Before signing, confirm who owns the code, what support looks like after launch, and that they can work in your team's language.

1. Ask for real projects, not just a pretty portfolio

A good provider can show systems in production: the problem they solved, who uses them and what changed in the operation. Ask to see screens, even with sample data, and which ones look like your case.

Be wary of anyone who only shows designs or templates. Custom software is measured by what it does with your data every day.

2. Notice what they ask before quoting

Serious firms start with your operation: how you sell, dispatch, bill and report, where time is lost and what tools you already use. A price given without that is not a real price.

A proper discovery ends with a written proposal that separates what is essential from what can wait.

3. Get scope, phases and timeline in writing

  • Which processes and screens the first phase includes.
  • What is out of scope and when it would happen.
  • Delivery dates per phase and how you will test each one.
  • What happens if you change your mind midway.

4. Check ownership, security and support

Ask who owns the code and the data, where the system is hosted, how backups work and who has access. Make sure post-launch support is defined: what it covers, how issues are reported and how new features are added without rebuilding.

5. They should understand your language and your industry

If your team works in Spanish, training, manuals and support should be in Spanish too. If your industry has its own rules (immigration, healthcare, transport, wholesale), ask whether they have built something similar.

Related questions

Is a local company better than a remote one?

Communication matters more than the zip code. A remote firm works well if it builds in phases, shows progress often and meets in person when the project needs it.

How many quotes should I get?

Two or three is enough. Compare scope and phases, not just price: a cheap quote that leaves out the essentials ends up costing more.

What are the red flags of an unreliable provider?

An instant price without discovery, nothing in writing, no real projects to show, and vague answers about code ownership or support.
